This privacy policy has been compiled to help those who are concerned about how their “Personally Identifiable Information” (PII) is used online. PII, as described in UK data-protection law, is information that can be used on its own or with other information to identify, contact or locate an individual, or to identify a person in context. The paragraphs below explain, in plain language, what personal information we collect through this website, how and why we use it, the steps we take to protect it and the rights you have in respect of it.

Who We Are

Get Noticed Locally Ltd is a Hull-based web-design company specialising in affordable websites for businesses, together with related services such as search-engine optimisation and the set-up and management of Google Ads campaigns. Our website address is https://getnoticedlocally.co.uk and our trading address is 42 Richmond Street, Hull, East Yorkshire, HU5 3LD, United Kingdom. For the purposes of the UK General Data Protection Regulation (“UK-GDPR”) and the Data Protection Act 2018, Get Noticed Locally Ltd is the data controller for the information described in this notice. You can contact us about any privacy matter by emailing interest@getnoticedlocally.co.uk or by telephoning 01482 440738.

What information do we collect and how do we use it?

Contact-form enquiries – When you complete a contact form we collect your name, email address, telephone number and any other details you choose to provide, together with your IP address and basic device information transmitted by your browser. We store this data solely to respond to your enquiry, keep a chronological record of our correspondence and, where relevant, prepare a quotation for services. The lawful basis is our legitimate interest in operating an efficient business and communicating with prospective or existing clients.

Usage data – We employ Google Analytics 4 (via Google Tag Manager) and Google Ads conversion tracking to collect aggregated usage statistics such as device type, pages visited, time spent and referral source. We analyse this information only to understand how visitors use the site and to refine its performance and content. The lawful basis is our legitimate interest in monitoring and improving our online presence.

Customer-account information – If you become a paying client we create a customer record containing the billing name and postal address of your organisation, relevant contact details and notes about the work you commission. We need this information to issue invoices, provide ongoing support and fulfil our contractual obligations. The primary legal basis is performance of the contract, supplemented by our legitimate interest in ensuring invoices are paid and records are properly administered.

Spam prevention and security – Every form submission is analysed automatically by Google reCAPTCHA v3 and Akismet. These tools process the IP address, browser fingerprint, referrer and the text you enter to determine whether the submission is genuine or spam. The lawful basis is our legitimate interest in protecting the integrity of the site and shielding users from malicious activity.

Marketing to existing customers – From time to time we may email existing clients with details of closely related services or limited offers that we believe will benefit them. Such messages are sent under the legitimate‑interest provision of the UK GDPR and each email contains a clear opt‑out link.

How we protect your information

The website is hosted on UK servers operated by 34SP. We apply appropriate technical and organisational safeguards, including encryption in transit, access controls, up-to-date software and regular staff training. Access to personal data is restricted to authorised personnel who need it for the purposes described in this policy and who are bound by confidentiality obligations.

How long we retain your data

Correspondence that reaches us via the contact forms, together with the associated Mailgun delivery records and mailbox copies, is kept indefinitely unless you ask us to remove it and there is no overriding legal reason to retain it. We keep this historical record so that we can refer to the full project history and protect our legal position if a dispute arises. Customer-account information persists for as long as you remain a client and for the additional period required by United Kingdom tax and accounting regulations. Google Analytics erases event data after the retention window configured in our dashboard, presently fourteen months. Server logs are kept only as long as they remain useful for security and troubleshooting before being deleted or anonymised.

Your rights

Under data-protection law you have the right to:
– access the personal data we hold about you;
– have inaccurate data corrected;
– request erasure or restriction of processing in certain circumstances;
– object to processing that is based on legitimate interests;
– receive a copy of your data in a portable format;
– withdraw any consent you have given; and
– complain to a supervisory authority.

We do not carry out automated decision-making or profiling that produces legal or similarly significant effects.

In the United Kingdom the supervisory authority is the Information Commissioner’s Office (www.ico.org.uk, telephone 0303 123 1113). To exercise any of these rights please email interest@getnoticedlocally.co.uk and we will respond within one calendar month.

Cookies

Cookies are small text files stored on your device by your browser. We use three categories: essential cookies that enable core site functions, analytics cookies set by Google Analytics 4 so that we can measure aggregate traffic and interaction patterns, and security cookies created by Google reCAPTCHA to deter automated abuse. You may refuse or delete cookies at any time through your browser settings. Doing so will not block access to the site, though certain features may operate less efficiently. By continuing to browse after seeing the cookie notice you indicate that you understand and accept our limited use of cookies for the purposes described. Visitors who prefer not to be tracked can block analytics or advertising cookies at browser level or by using privacy plug-ins; the site will still function, although certain features may be less efficient.

Third-party disclosure

We do not sell or trade your personal data. We do, however, engage trusted service providers for hosting, email, payments, accounting, cloud storage, spam filtering, security challenges and web-analytics. Where we transfer personal data outside the UK or EEA, we rely on the safeguards required by UK data-protection law (for example, the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses).

Third-party links

The Site occasionally contains links to external websites that we believe are relevant or useful. Each of those sites operates under its own privacy notice and we accept no responsibility or liability for their content or activities. Nevertheless, we strive to maintain the integrity of our Site and welcome feedback about any external link.
